Comments: Because of having only two ships in the Academy, we are sometimes limited in what departments are available to place a new cadet. With increased placements numbers, it is expected that the current Academy situation will mean not everyone will get their first choice of departments. For July, two cadets were placed in their second choice, and one cadet was placed in their third choice.

Comments: I really want to thank Sarah and Cale for the above numbers. We had a real spike in applications this month, within a short time-frame, but the PDept staff were able to process them all extremely quickly. The only two that took us more than 3 hours to respond to were due to us waiting for replies to our emails, which are outside of our control - and even then, we managed to get those two processed within 72 hours.

Open items from last report

MOTD: No new updates. (I do not anticipate this changing until next term after the Recommendations project has started.)

Implementing PDept’s work into Exodus: No new updates.

New Member Resource Taskforce: The taskforce is reviewing various documents at this time.

Placement policy review: This will most likely be an item for the second-half of the term, although I may put in on hold until our placement numbers increase. If July’s placement numbers stay at this level, I will look into opening the discussion before the end of the term.

Low placement numbers. Last month’s report certainly opened up some very… lively… discussion on this item. I was still doom-and-gloom on this until mid-July when we saw a sudden spike in new member applications, the vast majority of which found on through online searches. There’s been some behind-the-scenes discussions about whether this was caused by internal changes under our control, external changes outside our control, some combination of both, and what exactly those changes might be. It’s all guesswork at this point, though, and I’m not going to speculate in this report. Suffice it to say, July is very, very different from our last few months.

That doesn’t mean we can ignore the issue. We don’t know what caused this change, and we don’t know if it is a new status quo or just a quirk. It remains my hope and goal that STF can focus on how we do recruitment, and to find ways to explore new options, such as a referral reward system.

Comments:

Cale and Sarah started an initiative to really push Discord with our new members, right from the placement email, and then reach out to them privately when they show up in Discord. I think it is of interest that at the same time they started this - which has worked out in a few of our new members this month already becoming active in Discord - we have seen a spike in retention numbers as well. Seven of our ten placements in July are currently active players (although that may go down to six very soon), which is remarkably good for STF. As we start to focus on retention, I think making sure Discord plays a role in those intiatives, with some specific focus on how to reach out and help new members in Discord, will be an important part of those efforts.

I did note that for those members that posted but went AWOL, I had some slight concerns over the mentoring involved - although to be fair, I can only see what was said on the boards, not in the emails. I may monitor that a bit, though, and I’ll bring it to the Academy’s attention if I start to notice a trend there. This is especially true for the mentoring on the non-Academy ships (which still falls under the Academy’s departmental work).

Coming out of the Command discussions in July, there has been a new initiative to have ongoing discussions between the Executive, the Personnel Department, the CMM and TECH to try to make sure we’re supporting each other’s long-term goals and strategies for STF, that we’re not duplicating each other’s work or overlapping it, and that we’re not contradicting each other in our plans. This has been a bit of a weakness in STF’s now somewhat large administration, and only time will tell if this will work as a new communication strategy or not, but I remain ever hopeful.

There’s been some discussion on both an exit survey and a membership survey, which should hopefully happen very soon. Cale has initiated the project and Cale and Sarah together are running that project.

Finally, I have raised with the Executive that the ship speeds on profiles are becoming less useful indicators for the Personnel Department for placement purposes and for members to find new ships to join. There are two reasons for this. First, over time ships have started posting slower or faster then their reported speed, but the COs/FComms have not approved an official change in that ship’s speed. Second, ship speeds don’t tell you how active a ship is: a slow ship with a large roster may still have more posts in a month then a fast ship with a small roster. On the first issue, I understand the executive will be reaching out FComms to look into it. On the second issue, there has been a proposal to include a new automated entry on ship profiles for average posts per week for the past month - which I plan to follow up on once I have a bit more time.
